The EventsPass CheckIn app is the 'access control' app for event producers and organizers who are using the EventsPass platform for their events. It is used for everything from scanning ticket holders in and out of an event, to activating physical on-site tickets (and any associated ticket options), to collecting registration details of ticket holders, or to marking off ticket options as having been redeemed/collected/used. This is all achieved via different scanning modes within the app, which are explained in this article.
Once logged in to your event on the CheckIn app, tap ‘Start Scanning’ to bring up the scanning options menu. There is no one mode that accommodates all scanning scenarios. You may require multiple scanning devices, using different scanning modes to meet your event requirements.
Tip: It is recommended to use only one scanning mode per device over the course of your event. Mixing scanning modes on one device can be confusing for users, especially when volunteer staff are supporting your box office, registration, and check-in process.
Quickstart guide to scanning modes:
- Check-in mode: default mode for scanning people into your event (simply validates a ticket, and marks as attended).
- Kiosk mode: best for registration/competition areas - this mode prompts the user to input their details after the ticket is scanned. Often used when setting up a bank of iPads where ticket holders can scan and self-register. This mode is also used when printing tickets and badges from your box office.
- Ticket options check-in mode: best used for marking off Ticket Options as having been redeemed/collected/used/attended (e.g. if an attendee collects their event show bag, which has been configured as a ticket option).
- Check-out mode: use this mode to mark a ticket as having physically left your event premises (handy when you wish to closely monitor visitor density).
- Box office (activation) mode: for use with physical 'on-site tickets' only. This mode will mark a physical 'on-site' ticket as being sold, and activate any preloaded ticket options on that same ticket (if applicable) so that they can be used (or redeemed using Ticket Options Check In Mode) at your event.
In-depth overview of each scanning mode:
- Check-In Mode: Select this for the default scanning mode. In this mode, a scanned ticket is first validated and then marked as ‘checked in’ to the event.
- Kiosk Mode (Self Registration): Select this mode when your CheckIn device is set up so that attendees can scan their tickets and register their details (e.g. at a fixed attendee self-registration area, where the device is locked into a fixed scanning bracket). This mode can also be used by box office attendants when they are required to capture the details of customers who have physical ‘on-site’ tickets. This mode is also used when printing tickets and badges from your box office.
- Ticket Option Check-In Mode: Select this mode when you want the device to be used for checking in the various ticket options that are assigned to your tickets (e.g. if an attendee comes to a special area to pick up their ‘Showbag’ ticket option, then ‘Ticket Option Check-In Mode’ could be used to mark that attendees Showbag as claimed).
- Note: if ‘Check in Attendee on Ticket Option Check in’ is enabled in the app settings, then Ticket Option Check-In Mode will also treat a scanned ticket as ‘checked in’ like in ‘Check-In Mode’.
- Check-out Mode: Select this when you need to use your device to scan tickets to mark them as ‘checked out’ from your event (i.e. the customer has physically left the event premises)
- Box Office (activation): This mode is only applicable for use with physical on-site tickets. The uses for this mode are outlined below.
- This mode will mark the physical tickets as ‘sold’ in your event dashboard. For example, the operator at your box office scans the ticket(s) in ‘Box Office (activation)’ mode and then hands them to the customer after they have made payment. The purpose is to help you reconcile your cash sales post-event, against the reporting in your event dashboard.
- When your physical on-site tickets have coupons or vouchers assigned (as Ticket Options) (e.g. a drinks coupon), then your box office staff need to use the ‘Box Office (activation)’ mode as a tool to activate those vouchers or coupons. This is a security mechanism to minimize theft, fraudulent entry, or fraudulent access to Ticket Option content (e.g. a Showbag, voucher redemptions). Later, when the customer is redeeming their coupons or vouchers, you would scan their ticket in 'Ticket Option Check-In Mode'. If your staff have not done the pre-requisite step of scanning these tickets in Box Office (activation) mode, then those coupons and vouchers cannot be redeemed.
