Creating promo codes for your event (one at a time)

Note: You cannot create promo codes until you have launched your event in EventsPass. 

CREATING PROMO CODES OR COUPONS FOR YOUR EVENT (ONE AT A TIME)


Promo codes, sometimes referred to as discount codes or coupon codes, are a great way to provide special discounts to certain groups of customers or to make certain tickets available only to a subset of your customers. Many event organizers opt to use promo codes to amplify their marketing efforts. EventsPass allows you to create several different promo code types, each with a different effect (summarised below). 
  1. % Off ticket price = takes a percentage discount off a specific ticket
  1. % Off total purchase = takes a percentage amount off the basket value (does not apply to Ticket Options)
  1. $ Discount off ticket price = takes a dollar-based discount off a specific ticket
  1. $ Discount off total purchase = takes a dollar amount off the basket value (does not apply to Ticket Options)
  1. Get free ticket = changes a specific ticket from a paid amount to free
  1. Show hidden ticket = displays a ticket (paid or free) that would otherwise be hidden to the user
  1. Show hidden ticket and % Off ticket price = takes a percentage discount off a specific ticket that would otherwise be hidden to the user
  1. Show hidden ticket and $ Discount off ticket price = takes a dollar-based discount off a specific ticket that would otherwise be hidden to the user


Log in to your EventsPass account and load your event dashboard. From your event dashboard, scroll down and click the 'Promo Codes' tab.




Click the 'Add New Promo Code' button.




The ‘Add a Promo Code’ configuration window will display. You will be required to complete several fields to successfully create each promo code (outlined below).

What type of Promo Code would you like to create?

Select ‘Multiple’ if you want one single code, that can be used multiple times by different people. This is handy when you want to provide a universal discount to your customers (e.g. a discount available to everyone, that expires after a certain amount of time).


Select ‘Single’ if you want a bulk batch of promo codes, which will each expire after being used once. This is handy when you want to provide individualized discounts to specific customers (e.g. such as through a targeted EDM campaign to your VIP customers), but need to ensure the code is not used by the wider public.

Promo Code

Input the name or label for your promo code. (e.g. 'SHOWBAG').  


For ‘Multiple’ use promo codes, the code will be the exact name that you specify. For ‘Single’ use promo codes, the code will be the exact name that you specify plus a random numeric string appended on the end (since you will receive a batch of codes, they all need to be unique).

Promo Code Label

The Promo Code Label can be displayed on the event tickets, if enabled in Ticket Design. These allow for additional details (such as a name along with a membership number) to be included in a promo code displayed on a ticket, for access control or security purposes.

Enter the number of times you want to allow this promo code to be used (e.g. 20).

Restrict the day(s) and times when this promo code is able to be redeemed.

How many Single Use codes would you like to generate?

Input the number of unique single-use promo codes you want to generate.


‘Single’


Continue to the 'Promo Code Effect' section. This is where you choose the behavior of the promo code (e.g. discount, showing a hidden ticket). Click the dropdown selector next to the 'Promo Code Effect' field and select your desired effect.





Each promo code type has a different effect and requires different user inputs to finalize (outlined below).

Note: When redeemed, this promo will convert any paid ticket that it is applied to, to free.

Note: All tickets assigned will be hidden from customers by default until they apply the specified promo code.

Except for the ‘% Off total purchase’ promo code type, you can scroll down and see the estimated financial impact of each promo code on your ticket sales. The below example shows the expected impact of a 20% discount on a ticket normally worth $1,000.




Once you are satisfied that everything is configured correctly, click 'Save Promo Code'





ACTIVATING AND DEACTIVATING YOUR PROMO CODES

You will return to your 'Promo Codes' summary tab. By default, your new promo code will be set as active, meaning it is ready for use when you share it with customers. You can disable your promo code at any time by clicking the corresponding ‘Set Inactive’ button. Conversely, if the promo code is inactive, you can activate it by clicking the corresponding ‘Activate’ button’.






ACCESSING YOUR NEWLY CREATED PROMO CODES

If you created a ‘Multiple’ use promo code, then you can simply use the exact code you used when creating the promo code (e.g. 'SHOWBAG' and share it with customers. However, if you created ‘Single’ use promo codes, then you can download the batch of newly generated codes, by clicking the corresponding ‘Download as CSV’ button. This will prompt you to download a CSV file, which contains each of these single-use promo codes.





TEST YOUR NEW PROMO CODES BEFORE SHARING THEM WITH CUSTOMERS

This is a good time to test your promo code on your ticketing page, before sharing it with any customers (you can add it to your cart to make sure it is accepted, without completing the checkout, and the code will not be marked as ‘used’). To do so, view your live ticketing page and click 'Buy Tickets'.




Click the 'Enter Promo Code' button.




Type in your newly created promo code and click 'Apply'.




You should now see the impact applied to the appropriate tickets, from the ticket selection screen.




TRACKING YOUR PROMO CODE REDEMPTIONS

From your event dashboard, scroll down and click the 'Promo Codes' tab.



This will display a summary table of all promo codes you have generated. From this table, you can view 'Usage' which is the number of transactions in which a customer has successfully completed check out using this promo code.

 

For more detail, you can click on the 'View' button under the 'Action' column in any given promo code. 

This brings up the detail view for the selected promo code. Here you can view various pieces of critical information about the promo code, including:
  1. Usage:  The number of transactions on which the promo code has been used.
  2. Redemptions: The number of tickets on which this promo code has been successfully applied to.
  3. Usage Quota: The total number of times the promo code is available to be used (the promo code will cease working after the quota has been exhausted).
  4. Promo code link: These are unique ticket purchase links for your event that will automatically apply this promo code by default (useful when you want to market to your customers with a discount code). The first link will take customers to the event information page, while the second link will take customers to the ticket selection page.

EDITING A PROMO CODE THAT IS ALREADY IN USE

If any at stage you wish to edit the promo code, you may do so by clicking the 'Edit & Set Inactive' button (above). The promo code will not be valid for use while you are editing. 

Make your necessary changes, and then click 'Save'.

By default, the promo code will remain inactive after saving, so be sure to return to your 'Promo Codes' tab, and 'Activate' as necessary.
