Step 4a (Optional) - Add Ticket Options to your tickets

OVERVIEW OF TICKET OPTIONS

Ticket options are add-on ‘optional extras’ that can be assigned to your various ticket types. When the customer is going through the ticket checkout process, they will see an extra step for selecting options for any tickets in their cart that have options assigned.

These ticket options can be either paid or free.  There are three types of ticket options:

  1. ‘Standard Option’ e.g., ‘$20 Deluxe Showbag’
  1. ‘Session Option’ e.g., ‘B2B Basics Seminar @ The Innovation Room’. See note below.
  1. ‘Multibuy Option’ e.g., ‘5x Drinks Voucher’ or ’10x Carnival Ride Pass’.


This step in your event setup is entirely optional. If your event does not require Ticket Options, then please proceed to: Step 5 – Review then launch your event


NOTE: Session options can only be assigned to a ticket once you have defined all your sessions. Sessions are defined in the previous stage of your event setup, see ‘Step 3 – Add Sessions’.

TIP: It is recommended that you add all your tickets before proceeding with this process.


CREATING YOUR FIRST TICKET OPTION

To move onto the ‘Ticket options’ either click on the ‘Ticket options’ tab on the left-hand navigation tool bar or click on the ‘Save and next’ button from the ‘Ticket Groups’ page the page.




Next, you will be brought to the ‘Ticket options’ page 


Click on the ‘Add new ticket option+’ button.




Once you click on ‘Add new ticket option+’ the ‘Ticket option’ page will pop up


Complete the ‘Ticket Option Information fields.





  1. Ticket Option Name: Enter the name of the option as you want to be displayed to customers during the ticket checkout process (e.g. ‘B2B Basics’)
  2. Short description: Input a brief description of what this option is
  3. Ticket Option Description: Input all detail about this option 


Then under ‘Option Pricing’, select whether the option should be ‘Free or Paid?’ from the dropdown.  For paid options, input your desired price, then check the ‘Customer Pays’, ‘You Pay’, and ‘You Earn’ boxes to make sure the pricing is configured to your requirements.





Then under ‘Setup Ticket Option’, select the type of option you wish to create.




  1. ‘Standard Option’ – e.g. ‘$20 Deluxe Showbag’
  2. ‘Session Option’: e.g. ‘B2B Basics Seminar @ The Innovation Room’. 
  3. ‘Multibuy Option’: e.g. ‘5x Drinks Voucher’ or ’10x Carnival Ride Pass’.


A summary of the additional settings and fields you will need to configure when creating a ticket option can be found below.

Add an SKU label if you have an inventory management system and wish to keep track of your option sales by SKU (optional).




Standard Options, Multibuy Options

Set Option Quantity

Set the total quantity of this option that should be made available to attendees.  For example, if you have 100 ‘Showbags’ that are available to ticket buyers, then you can click on the blue drop-down box, select ‘Limited’ and input '100'. This means the item will automatically sell out after 100 have been sold.



Standard Options

Assign to Category

This enables you to organize your options into logical buckets, making the checkout process easier for your customers. To create a category, click the ‘Add New Ticket Option Category’ button.





All Options

Assign to Ticket Type

Check ALL the tickets that you want this option to be accessible to. Customers who then select these ticket types in your checkout process will then see this option at the next step of the checkout.

Select a session

Choose which session your ‘Session Option’ is linked with.


Note: Session options can only be assigned to a ticket once you have defined all your sessions. Sessions are defined in the previous stage of your event setup, see ‘Step 3 – Add Sessions’.

Requires Approval

Enable this if you want to manually approve all session option booking requests before they are confirmed for the customer.

If there is any special information that the user should be aware of when selecting this ticket option, please enter it here.

Customize the text shown on the session option selection page for customers (optional). Default text is ‘Select’.

Purchase limit per customer (min.)

Enforce the minimum quantity of redemptions/vouchers etc. associated with a multibuy option. For example, if you are creating a 5x drinks voucher option, then you would input ‘5’ as the value here.


Note that the price you set for a Multibuy option is for each redemption/voucher, not the overall package. So in the above example, if one drink voucher costs $3, and the minimum purchase limit per customer is set as ‘5’, then the customer will be spending a minimum of $15 to purchase this multibuy option ($3 x 5 vouchers).

Purchase limit per customer (max.)

Enforce the maximum quantity of redemptions/vouchers etc. associated with a multibuy option. The same principles apply as with the ‘Purchase limit per customer (min.)’.


Multibuy Options


Review all the settings you have selected for this option. If you are satisfied everything is correct, click ‘Create Ticket Option’ to finalize the process.




Repeat the above process until you have created all your necessary options. 



MAKE YOUR TICKET OPTIONS AVAILABLE FOR SALE (ACTIVATE)

Once you are ready to make your options available to customers, make sure you click ‘Activate’ against each option, when viewing the ‘Create Ticket Options’ summary view (below). Ensure the option status changes to ‘Active’. 



If you are satisfied with your ticket options, then click ‘Save and Next’.





CHECK YOUR TICKET OPTIONS ARE ASSIGNED TO THE RIGHT TICKETS

Once clicked, the ‘Assign tickets options’ page will appear.  This page allows you to easily update which options are assigned to which tickets.






On this page click ‘Edit’ on each Ticket type to review and ensure the appropriate options are assigned to each ticket.  Alternatively, click the ‘+’ against to see a quick view of which options are assigned to a given ticket.


Once you have reviewed each ticket type, click ‘Save and next’. Once saved the ‘Create Ticket Options Rules’ page will appear. 



RESTRICT THE NO. OF OPTIONS THAT CUSTOMERS CAN SELECT (TICKET OPTION RULES)

Ticket Option Rules allow you to set minimum and maximum options that a customer can select across all categories, or specific categories (for a given ticket). 


To create a Ticket Option Rule, click ‘Add New Ticket Option Rules’.



You will be prompted to complete a number of fields for your new rule, summarised below.

Select which ticket your rule will apply to.

Minimum Options

You can set the minimum quantity of ticket options that the customer can select for this ticket type by selecting Limited and entering the available quantity.

Maximum Options

You can set the maximum quantity of ticket options that the customer can select for this ticket type by selecting Limited and entering the available quantity.

Enable Option Limit per Category

Enable this if you want to set the minimum and maximum number of options that can be selected by a given ticket type, within a specific Ticket Option Category.

Specify the minimum number of options that must be selected by this ticket type (for each category listed)

Enable Option Limit per Category - Maximum Options

Specify the maximum number of options which must be selected by this ticket type (for each category listed)


Complete the fields, review and once you are satisfied, click ‘Create Ticket Option Rule’.




Repeat this process for any ticket types that you require ticket option rules, and then click ‘Save and Next’ to proceed.
